Requesting and Approving Workspaces

Users who do not have the Workspaces: Create permission can make a request to have a workspace created if they have the Workspaces: Allow users to submit a workspace request for approval of an administrator permission. A user specified as an approver can then either approve or deny the request.

Approval Workflow

  1. A user generates a request through the Create Workspace wizard.
  2. The approver receives a notification that a request is pending.
  3. The approver either accepts or rejects the request.
  4. The requester receives a notification email stating whether the request was approved.

Required Permissions

Role Required Permission Description
Requester Workspaces: Allow users to submit a workspace request for approval of an administrator Enables Create Workspace in the Administration menu even if a user does not have the Workspaces: Create permission.
Approver Workspaces: Approve workspace request Enables Approve Workspace Request in the Administration menu if the user also has the Workspaces: Create permission.

Workspaces: Create

Enables Create Workspace in the Administration menu and allows users to create workspaces without the need for approval.

Processing Workspace Creation Requests

Users designated as approvers can process workspace creation requests through the web client from AdministrationApprove Workspace Request.

All workspace creation requests are listed in the Workspace Creation Request List.

It is possible to adjust the number of records per page with the drop-down list at the top left corner or search by workspace name or requester with the Search field at the top right. The request list has the following columns.

Column Description
Workspace Name Name of the requested workspace; clicking the name opens a dialog that lists all of the profile field specified by the requester.
Requester User who requested the workspace.
Requested Date Date and time when the request was submitted.
Status Status of the request.
Action Displays two buttons, Approve and Reject, if the request is pending.

Notifications

When an approver accepts or rejects a request, the requester receives an email stating the decision of the approver. However, users who were specified in the Notification step in the Create Workspace wizard only receive an email if the request is accepted and the workspace is created.
