Reassigning Templates
The Reassign Template feature, which is available on the Workspaces and Analytics tabs, allows administrators to apply a different folder template to an existing workspace.
There are a number of situations in which a matter might require a new folder structure.
- The practice area of the matter changes; for example, a Real Estate matter becomes a Litigation matter.
- The matter type is coded incorrectly in the time/billing system.
Using Reassign Template on a workspace brings up the Reassign Template dialog, which allows you to specify how Milan will transition the workspace from one folder template to another. From the Reassign Template dialog you can:
- Map existing folders to folders defined in an available template
- Delete empty folders from the selected workspace
- Add new folders from another template
When a folder is mapped, all files contained in the source folder are moved to the target folder upon saving.
Note: Only templates with a Mode of All or Workspace Creation Only can be used as the target template.
Mapping Folders
To reassign a template to a single workspace from the Workspaces tab:
- Select a workspace and click the Reassign Template button in the toolbar to open the Reassign Template dialog.
- Click the Manually map option.
- From the Available Template drop-down menu, select a new template to assign to the selected workspace.
- Check an existing (source) folder in the Selected Workspace panel.
- Select the target folder from the template selected in the Available Templates panel.
- If you would like to move all documents in the source folder to the target folder without preserving the subfolders, click Move Documents. If you would prefer to keep the subfolders, click Move Folder. The mapping is added to the Selected Template Folders list at the bottom of the dialog.
- Repeat steps four through six for each folder in the selected workspace that corresponds to a folder in the new template.
- Check Create remaining folders from selected target template if you would like to create folders from the target template that have not been explicitly mapped.
- If you would like to reuse this mapping, click Save Mapping. Enter a name for the mapping in the Mapping Folder dialog and click Submit to save.
- Click Save to apply the changes to the workspace.
To use a saved mapping:
- Select a workspace and click the Reassign Template button.
- At the top of the Reassign Template dialog, select From previously saved mapping.
- Select a mapping from the Available Mapping drop-down menu.
- Delete unnecessary mappings by clicking the delete icon next to the unwanted template folders in the Selected Template Folders list.
- Click Submit to queue the job for processing by the provisioning service.
Note: If you have made any changes to the existing mapping, such as removing folders, disabling the copying of metadata values, you can save the new mapping by clicking the Save Mapping option and specifying a name.
