Import Jobs

The Import Jobs node gives you the flexibility to:

  1. Schedule an import job and run it immediately OR
  2. Schedule an import job to be executed later OR
  3. Run an import to update a specific matter only
  4. Add/Edit an accounting system as a data source
  5. Set up your firm matter confidentiality policy on import

Note:Before you initiate an import job, run the rejunc_ssis command file as an Administrator. The file is placed in the ~\Program Files\Prosperoware.Umbriafolder. This will automatically create a SSIS folder and its structure within the root folder. Failure to run this command will cause the import job to fail in absence of the SSIS package.

Step 1: Add Accounting System as Data Source

  1. In the Umbria Admin> Import Jobs node click the at the top right corner of the page and select the option Add Accounting System.
  2. In the Accounting System Setup dialog, enter data for the following fields:
  3. Field Description
    Accounting System Type Select the accounting system type from the drop-down. Elite, Aderant or Rippe are available.
    Is Primary System Check box to mark the system as the primary data source. Only one system can be primary.
    Version Only displayed for Elite. If importing from Elite, select either Enterprise or 3E from the Version drop-down
    Connection Name Auto populated with the Accounting System type selected above
    Database Server Name Type the name of the database server
    Database Name Type the name of the database.
    Connection Timeout Prosperoware recommends setting it to 300.
    Authentication Select the authentication method. Integrated or SQL authentication is supported.
    Is Primary Connection Check box to set the authentication method as primary
    Database Username Username used to access the data source, if using sql security.
    Database Password Password for username used to access the data source, if using sql security.
  4. Click Save.
  5. The accounting system and the connection string is now updated in the Imports node screen.
  6. Users can test their connection to the billing database by clicking on Test Connection, before clicking Save.

Edit Accounting System Setup

  1. In the Umbria Admin> Import Jobs node click the at the top right corner of the page and select the option Edit Accounting System.
  2. The selected accounting system and the connection details are displayed. If multiple connections to the accounting system(s) exist, a list will be shown. To edit the specific connection, click the Edit button and update the connection details. Click Delete to remove the connection string. Click Test to test that connection.
  3. To update the accounting system data source, select the new data source from the Accounting System Type drop-down and edit the connection details.

Step 2 : Schedule an Import Task

  1. In the Umbria Admin> Import Jobs node click the at the top right corner of the page and select the option Add New Job.
  2. In the Import Job Settings dialog, type information in the provided fields, based on the table below, then click Save.
  3. Field Description
    Job Name This is auto-populated with the current system date and the task name is set as Daily. You can change this.
    Import System The set-up primary accounting system and the database is auto-populated.
    How many year(s) of data do you want to bring? Enter a number for the years of time and billing data to be imported. E.g. importing data since 1/1/2010 would be 10 years if today is 2020
    Do you want to limit by matters?

    Enter specific matter ids to be imported and updated in Umbria

    Note:The matters imported will have an Import Data option displayed in the matter menu. Read here for more details.

    What's firm's confidentiality policy? Configure confidentiality security for Matters for the default groups that will view the matter data. Either set to only allow matter team to view matters, limit access to practice areas, or everyone has matter access.
    Set up job schedule details

    Check box to set a schedule for the import task. If running once immediately, this is not necessary.

  4. Check the box for Daily Schedule Enabled if data should sync every day. To determine when and how often the sync should occur, do the following

    1. To set the sync to run at a specific time or multiple specific times each day, select the Specific time radio button. Click the Add date and time button in the table to add one or more sync start times.
    2. To set the sync to run every hour (or every two hours, four hours, etc.), select the Hourly radio button and enter the desired frequency in the Sync every (hours) field.

    • The current timezone appears that the user is in.
  5. Click Save. The job will be executed as per the set schedule.
  6. If a daily schedule or runtime is not set, a Save and Run button is displayed to immediately trigger the import job.

Note:The Specific time of the schedule, will show as Next Run: In _hours/days/weeks/months. It will not show a date field here on Import Details.

Import Tasks Menu Options

  1. The Import Jobs node now displays a list of all the scheduled /ongoing import tasks, last run time, next run time, the import progress status, and the user name.
  2. Click the task name to edit the import job settings.
  3. Click the icon at the far right corner of the scheduled import task row to access the menu options
