Overview
Our latest version Umbria 2019.1 brings to you a multitude of new features and an enhanced user interface that is visually more appealing, easier to navigate and provides instant access to all key information. We have retained all our features from our legacy system, added, and updated a variety of new features that will provide your firm with an optimized and productive workflow.
Enhancements
Planning Dashboard
There are innumerable variables involved in Budgeting & Planning and creating various iterations of a budget to adjust to the fluctuations in assumptions or data can be tedious and a time-consuming process. The Umbria 2019 version address these issues and now offers an integrated solution that allows you to manage the entire Planning in a single dashboard.
Umbria's flexible and easy to use planning dashboard allows users to create, track, and monitor the complete budgeting process in a single dashboard. You can add a new planning model from the quick wizards or access the planning dashboard from the matter page. Key highlights of the Planning dashboard include:
- Reduces the complexity of using multiple wizards and allows you to manage complete budget planning on one page, including adding nested level phases, allocating resources to the phases, adding phase adjustments, or managing rate and cost increases.
- Offers two budget control modes:
- Top Down (by Amount) budgeting lets you plan based upon prior experience, allocate that amount to the phases, and then further allocate it to firm-wide level down to the individual fee earners or use the
- Bottom-Up approach where the departments can create a total for the phases and then present it to the top management for approval.
- You can add multiple fee arrangements as phases, add consecutive phases to the arrangement at a granular level (phase level, sub-phase, and n-level phases), and add detailed level resource drill down at each level.
- Allows you the flexibility to add unstructured phases (with free text), structured phases (with phase code), add expenses as a phase, allocate a phase at the region level, country level, office level, department level or both and also add phases from a template.
- Add rate overrides, adjustments, discounts, and rate increases.
- Allows you to plan and lock a budget at an opportunity level without assigning resources and derive the hours based on the average rate. Once an opportunity is finalized, you can then add resources within the phases without changing the phase amount.
- Quickly create a pricing model without adding task codes, phase code or rate cards.
- The Planning dashboard menu option allows you to select and manage all the KPI's to be displayed on the page thereby eliminating the complexity to edit the dashboard XML properties.
- The What-If Analysis section allows you to analyze the impact of discounts or different fee types on the pricing arrangement. You can add multiple versions of the What-if Analysis to review all of the potential outcomes of different scenarios.
- You can create multiple duplicate copies of the pricing model.
- Save the created pricing model as a template, re-use, and apply the template for planning.
- The complete matter planning information can be exported to the out-of-the-box Excel report templates that support Pivot tables and raw export of data. This enables creating hierarchical and other intelligence reports easily. All the Excel reports are available in the folder ~\Prosperoware.Umbria\App_Data\Seed\PlanningTemplate

Notifications Dashboard
The Monitoring & Notification dashboard can be accessed from within the Planning dashboard. Users can set rules and select templates for email notifications, to be sent to users at the matter level or phase level. Key highlights include:
- Allows you to select the target values/KPI to be monitored and notified. (for e.g., monitor hours, amount, percentage values, or any combination)
- Provides the capability of sending notifications in increments (for e.g. send out a notification when the matter reaches $50,000 and after $50000 send out a notification for every $5000)
- Allows you to set thresholds notifications against Fee Arrangements and Budget values. These threshold notifications can be switched any time and the recipient list can be controlled for different users and groups.
- Gives a better control on the frequency of notifications being sent.
- Users can add multiple notifications and define sub-notifications and criteria within the notification.

Monitoring Dashboard
Drilling down into a matter from the Recent & Favorites dashboard takes you to the matter dashboard. Key highlights of the dashboard include:
- Customizable Matter Dashboard layout.
- A tabbed interface with all the key matter related information presented concisely and clearly in a single dashboard, without the need to navigate and open multiple pages.
- The Matter dashboard can be updated to include or exclude tabs. For e.g., you can choose to add or exclude customized dashboard reports, matter profile information, matter experience details, etc. The display option can be conveniently selected from the matter dashboard menu in the UI.
- The matter header and the matter performance statistics displayed in the dashboard are widget based. The data displayed under each tab can be customized as per your firm requirements.
- The complete matter information can be exported to Excel templates.

Light Weight Administration Console
The Administration console can be accessed from the User menu drop down. The Admin Panel is a collection of nodes or modules grouped by folders. Different levels of security access can be assigned for these folders in order to protect sensitive information. A user assigned as an Administrator, will have the highest permissions assigned and can update the configuration for various dashboard modules via the Admin panel. You can also add a user as a Light Weight Administrator and grant that user minimal Admin privileges. The lightweight Admin user can only access the Admin node in the Administration Console. This lightweight role enables users to update user details without accessing other Umbria modules.

Import Time & Billing Data
Data from your billing system can be imported in Umbria via two options using SQL Server Integration Services (SSIS) or through the Web interface (Umbria UI). Once you successfully complete an initial import, you can perform incremental imports on a regular basis to keep Umbria synchronized with your billing system.

Umbria Cloud
With this release, we also introduce Umbria cloud. You can now access all benefits of Umbria in the cloud. Umbria now offers a choice for our users to continue with our legacy on premise version or move to our latest Umbria cloud offering.
Configurable Reports Dashboard & Monitoring
The Reports dashboard allows you to add a new dashboard and create insightful data visualizations to track key metrics relevant to the firm. Key highlights include:
• Create and add custom widgets and dashboard visualizations at individual matter level.
• Create and add out-of-the-box matter summary widgets that can be customized to your firm’s requirements.
• Select from the pre-defined dashboard layouts available or use the drag and drop features to move the widgets to create a custom layout.
• The Dashboard is enhanced with a security feature to add role-oriented dashboards for different user groups.

Umbria Dashboard User Interface
The Umbria Dashboard presents a complete view of all the business KPI’s in a single dashboard. The dashboards widgets are dynamic and allow users to drill further into the information. The Umbria UI offers a customized experience and simple navigation to use the reports and dashboards. Key highlights include:
- As soon as you log in to Umbria 2019.1, the Recent & Favorites dashboard gives you quick access to the recently viewed/edited dashboard(s) or dashboard(s) marked as favorites, in the front and center of the landing page.
- The Recent & Favorites dashboard are conveniently grouped by the entities. You can open any recently accessed dashboard with just one click.
- All the key matter information pulled from multiple reports is consolidated and presented in a single dashboard in a tabular format. The complete planning, budgeting, monitoring process can all be managed in a single dashboard without switching between wizards or multiple dashboard pages.
- The Global Search bar is placed at the top center of the page and can be accessed from any of the dashboards. You can access records by entering simple search keywords or click the drop-down arrow in the search bar to use the Advanced Search option.
- An easy access menu to navigate to the Administration console and frequently used wizards are placed at the upper right corner of the landing page.
