User Roles and Permissions

Each user is assigned a role that has specific permissions as to what they can see and do in Umbria. The tables below list the built-in, or out-of-the-box, groups and roles that come installed with Umbria. See the Security page for the steps to manage roles and permissions.

Default Groups

Group Description
All Clients All clients, regardless of type and status, are included in this group.
All Vendors All vendors are included in this group.
External People This group contains all external people (including external companies).
All Employees All internal employees of the firm are members of this group.
Administrators Members of this group are administrators in Umbria, and usually in the firm as well. Administrators can be IT personnel, system administrators, Umbria administrators, or Active Directory users that are flagged as Administrators.
Partners This group includes all partners in the firm. Partners have ownership interest in the firm. In larger firms you may see a tiered partnership around equity and non-equity partners. Equity partners are usually longer-term partners with full ownership and voting rights who received a monthly draw rather than a standard yearly salary. The draw is based on the firm’s revenue for the month and that particular partner’s percentage share of that revenue. A non-equity or income partner is typically a junior partner who does not receive a draw but a standard yearly salary. This partner may have limited voting rights in the firm and typically is up for equity partnership within a year or two.
Pricing Team This group is made up of practice managers, financial people, or people with more specialized pricing titles.
Associates This group includes all associates in the firm. These are attorneys who are generally between 1 and 10 years out of law school and who do not hold any ownership interest in the firm.

Default Roles

Role Code Description
Administrator ADMINISTRATOR The master administrator for Umbria. This should be limited to only one or two logins.
Associates ASSOCIATES The person is generally just a timekeeper on the matter with no management or supervisory rights to the matter and has rights to see the matter overview, team, and view but not edit the budget. They see the Associate Dashboard.
Billing Lawyer BILLING-LAWYER This person is the technical owner of the matter and may also own the client. Additionally, the billing lawyer may not be the partner responsible for running the matter.
Business Development BUSINESSDEVELOPMENT This may or may not be a separate role from the Marketing role depending on the firm culture. The person has full rights to matter and people experience and also rights to see some financial data including the budget overview.
Contributor CONTRIBUTOR This person can contribute information to Umbria, such as People information, or documents. Mainly used in Umbria Documents.
Employee EMPLOYEE This role is for all employees, they have a minimal level of access into Umbria. Generally, employees will have other roles in addition to this role, for added access.
Full Access FULL-ACCESS This role isn’t used in the Umbria role level, but is used at the Umbria Docs level. Gives full access to work with documents.
Impersonator IMPERSONATOR The person who has this role would be impersonating another user in Umbria. Generally, this will be used by partner’s secretaries who will be tasked with entering information for the partner as the partner, or as a person on the QA testing team.
Manager MANAGER This role is for middle managers that are not specifically Responsible or Billing Lawyers, or Partners. They have a basic overview of the Umbria system, the team they manage, and their matters/clients. If the manager were to have more access, another role may be combined with this one.
Marketing MARKETING The person has full rights to matter and people experience but not necessarily rights to finances unless they are business development.
Member MEMBER A person with the member role, would have a high level view of the matters they are on, and the team they work with. They cannot edit anything, and view any details of the matters and other data, unless specifically granted permission to do so.
Partners PARTNERS This person is not a responsible lawyer so they do not own the matter but have certain rights to see financial and budgeting data. They see the Partner Dashboard.
Practice Management PRACTICEMANAGEMENT If separate from pricing, this person has rights to see all clients, matters, with full rights to finances in order to prepare budgets and monitor performance. Since practice managers are not timekeepers they get implicit security to matters based on matter metadata.
Pricing Team PRICINGTEAM This person is able to see and edit most options with regard to matters including finances, budgets, and full price modeling including rates, fee arrangements, staffing models, profit margin, realization, and invoices. This role also has rights to see people, clients, and vendors but not necessarily edit rights.
Responsible Lawyer RESPONSIBLE-LAWYER This person is essentially the manager and/or owner of the matter and has rights to see everything about the matter including finances, budgets, team members, and matter overview. This role also has full rights to do budgeting. They see the Partner Dashboard.
Security Manager SECURITY-MANAGER IT person who may be tasked with managing groups or permissions.
Staff Timekeepers STAFFTIMEKEEPERS These include non-attorney timekeepers such as paralegals and litigation support. These people have similar rights to the associates except that they may have more limited finances. There also may be cases where the paralegal on a matter manages the budget and project plan on a matter. They see the Associate Dashboard.
Viewer VIEWER This role is mainly used for the Umbria Docs modules, but can also be used for Umbria. The viewer can only view the documents or matters granted to them, for review. No data can be changed. Typical people who would get this role are external clients, external people or entry level staff that aren’t assigned another role, but are working with a particular matter/team/document.
