Tasks

The Tasks module allows you to locate, update, and assign tasks associated with the matters for which you are responsible.

At the top of the list, you can determine how the tasks are grouped. Options include Group by Matter, Group by Status, Group by Assigned To, Group by Priority, and Ungroup.

The list of tasks includes the following information:

Field Description
Issue Description of the task.
Matter Matter to which the task is associated.
Assigned To Name of the employee responsible for the task.
Priority Importance of task. Available choices include Very Low, Low, Medium, High, Very High, and Critical.
Status Where the task is in the workflow. Available statuses include Assigned, Canceled, Completed, Failed, In Progress, Unassigned, Verified, and Waiting for Feedback.
Deadline Task due date.

Tip: You can click any column header to sort the list by that column, then click the column header again to reverse the sort order.

View and Modify a Task

Click the link in the Issue column to open the task pop-up window.

To mark the task as completed:

  1. Click the Mark Completed button. A Mark Completed pop-up window displays.
  2. Enter a Comment regarding the completion of the task, if applicable.
  3. Enter or update the total Time Spent on the task.
  4. Click Save. The task status updates to Completed.

To report progress on the task:

  1. Click the Report Progress button. A Report Progress pop-up window displays.
  2. Enter a Comment describing your progress on the task.
  3. Enter or update the total Time Spent on the task.
  4. Click Save. The task status updates to In Progress, and your comment displays on the task window.

To assign the task:

  1. Click the Assign button. An Assign Task pop-up window displays.
  2. From the Assign To drop-down, select Me, Team Member, User, or Group.
    • If you selected Team Member, choose a member of the matter team.
    • If you selected User, choose from a complete list of Umbria users.
    • If you selected Group, choose from a list of user groups.
  3. Click the Deadline field to select the task due date from a calendar pop-up.
  4. Specify a Priority for the task. Options are Very low, Low, Medium, High, Very High, and Critical.
  5. Enter or adjust the Budgeted Time for the task.
  6. Enter a Comment if applicable and click Save.

To request feedback on the task:

  1. Click the Request Feedback button. A Request Feedback pop-up window displays.
  2. From the Ask drop-down, select User or Group.
    • If you selected User, choose from a complete list of Umbria users.
    • If you selected Group, choose from a list of user groups.
  3. Enter your Question in the field provided.
  4. If any additional information would be helpful in answering the question, provide it in the Details field.
  5. Click Save. The task status updates to Waiting for Feedback.

To edit the task:

  1. Click the Edit button. An Add/Update Issue pop-up displays.
  2. Enter or modify any applicable information, using the table below as a guide. When you have finished making updates, click Save.

    AssignedTask is assigned to a person, group or user.
    In ProgressTask is being worked on.
    CompletedTask was marked as complete.
    Waiting for FeedbackTask is waiting for a user or group to answer a question.
    FailedTask failed to be completed, or there was an issue with task completion.
    VerifiedTask was verified as having been completed.
    CanceledTask was canceled in workflow.
    PriorityImportance of the task so that assignee can prioritize work accordingly.
    OwnerPerson who is overseeing the progress/completion of the task (may not be the assignee).
    AssignedPerson or group assigned to complete the task.
    ChecklistIf applicable, a checklist of sub-tasks to be embedded in the task.
    Primary Taskboard

    Taskboard the task will show up on in the Tasks screen for the matter (a matter can have multiple taskboards).

    Also Shown onIf the task is to be shown on additional boards, select the additional board(s) here.
    Time SpentTotal hours worked on this task so far.
    Budgeted TimeTotal hours planned for this task in the matter budget.
    Due DateDate by which the task should be completed.
    CommentAny additional comments that will be added to the task screen for reference.

To add a comment on the task:

In the Add Comment field that displays beneath the action buttons on the task pop-up, enter a comment and click the Comment button. You can modify or remove comments that you have entered previously by using the Edit and Delete links.

To delete the task:

Click the Delete button. A pop-up window displays, asking, "Are you sure that you want to delete this task?" Click OK.

View and Modify Taskboards

Click the link in the Matter column to open the primary taskboard on which this task displays. If the matter has multiple taskboards, you can make a different selection from the Taskboard drop-down on the left side of the screen.

To create a new taskboard:

  1. Click the drop-down arrow in the upper right corner of the screen. On the Report tab, select Create Empty Taskboard. A Create Empty Taskboard pop-up displays.
  2. Enter a Name for the taskboard.
  3. Select the taskboard Type. Available types include Umbria, Budget, Pricing Request, Budgeting Request, Experience, and Fee Arrangement.
  4. Select a Status of Open or Closed.
  5. Click Save. You are taken to a blank taskboard screen.

To edit a taskboard:

  1. Click the drop-down arrow next to the gear icon and select Edit Taskboard. An Update Taskboard pop-up displays.
  2. Make any necessary changes to the taskboard's Name or Status and click Save.

To delete a taskboard:

  1. Click the drop-down arrow next to the gear icon and select Delete Taskboard.
  2. A confirmation pop-up displays. Click OK to delete the taskboard.

To import tasks from a budget template:

  1. Click the drop-down arrow in the upper right corner of the screen. On the Report tab, select Import Template. An Import template pop-up displays.
  2. Make a selection from the Which template to use? drop-down and click Save. A new taskboard is created that includes all tasks in the selected template.
