Creating Legal Holds

Legal holds can be created from the Legal Hold dialog, which can accessed from the Documents tab and the Litigation Hold tab by clicking the Create Legal Hold button.

To create a legal hold:

  1. Open the Documents tab and fill out the search form to find one or more documents.
  2. After confirming the search results, click Create Legal Hold to open the Legal Hold dialog.
  3. For the Start Legal Hold option, select Yes if you'd like the hold to be effective immediately; otherwise, select No.
  4. Enter a name in the Requested by field.
  5. If you'd like to create a hold that will automatically end on a specific date, in the Type drop-down menu select Fixed Period and set the Start Date and End Date; otherwise, select Open Ended and set the Start Date.

    Note: For documents to be undeclared as records when a hold expires, you must set the application setting undeclare-documents-on-expired-holds to 1.

  6. Enter any additional information about the hold in the Comments field.
  7. Click Save to close the dialog. The hold will be created and listed on the Litigation Hold tab.

Option Description
Criteria

When the dialog is opened from the Documents tab, this section displays the criteria that were specified in the search form; all documents matching this criteria will be included in the hold. If, however, the dialog is opened from the Litigation Hold tab, only Client and Matter will be listed as possible criteria.

Start Legal Hold Specifies whether the legal hold should be applied immediately. If No is selected, a user must manually start the legal hold from the Litigation Hold tab after the hold is created.
Requested By The name of the user who made the legal hold request.
Type Specifies whether the hold will have an end date. To set an end date, select Fixed Period; otherwise, select Open Ended.
Start Date The date on which the legal hold takes effect. To select a date, either manually enter a date in the format MM/DD/YYYY or click the calendar icon to display the date chooser.
End Date

The date on which the legal hold expires.

Note: This field is only shown when Type is set to Fixed Period.

Comments An optional field for entering additional information related to the hold.
