About Recycle Bin

The Milan Recycle Bin provides an extra level of protection against the accidental deletion of documents by DeskSite/FileSite users and workspaces/folders by Service Desk users. When a person adds an item to the recycle bin, Milan copies the item’s original metadata, folder location, and security to the Milan database and updates the item's metadata and security, effectively hiding it from all users without administrative access.

Once an item is in the recycle bin, it can be:

  1. Restored to its original location by either:
    1. The user who deleted it.
    2. A Milan administrator.
  2. Permanently deleted from WorkSite either:
    1. Manually through the Milan web interface.
    2. Automatically after a specified period of time.

When a recycle bin document is deleted, Milan removes the document from the recycle bin and deletes the original file from the WorkSite file store.

Note: All recycle bin operations are logged to the Milan Audit log.

Workflow

  1. Milan checks the user's rights on the item being added to the recycle bin.
  2. A backup is made of the item's metadata and security in the Milan database.
  3. The Author/Operator of the item is changed to the Milan admin account.
  4. The item is marked as private with no user access rights.
  5. Explicit security assigned to the document is removed.

Documents: Add to Recycle Bin Enables the Add to Recycle Bin button on the Documents tab and allows users to run the Add to Recycle Bin command in DeskSite/FileSite
Folders: Add to recycle bin Enables the Add to Recycle Bin option in the More Options menu on the Workspaces tab
