Time

Data in these nodes is imported from the firm's time and billing system. They contain the time entries themselves as well as classes and categories of time keepers, rate card information, and the phases/tasks to which time entries can be assigned.

Time Entries Node

Note: If a time entry is modified in Umbria (e.g., through Code Reassignment), this information does not feed back into the time and billing system. The information in Umbria will be overridden if there is a change to the time entry in the firm's time and billing system.

Extensive information is provided for each time entry listed, including the matter, phase, and task if applicable, the hours worked, billed, and written down, the value of the entry at matter rate and at firm standard rate, the amount paid by the client, and a record of the last change made to the time entry. It is possible to modify this information from the Time Entries node and also to add or remove time entries.

Tip: You can select the option to use stored procedures to update statistics, for faster results. The option is available in the Settings tab>Use Stored Procedure to update statistics. Re-start Windows service each time you enable or disable this option.

Fee Earner Classes Node

Each fee earner class falls under a fee earner type. Fee earner types are more broad, generic categories (e.g., 1st year associate, 2nd year associate), while fee earner classes can be more granular and show different classifications of fee earners that are at a similar level.

In the Fee Earner Classes node, a Fee Earner Type list displays in the center panel of the screen. Select a fee earner type to populate the included Classes in the list to the right.

The following information is captured for fee earner types:

Field Description
Fee Earner Type

Name to identify the type.

Class Type Broad level of employee this type falls under (e.g., Sr. Associate, Jr. Associate). These are stored in the Fee Earner Category node.
Class Level A way of ordering fee earner types. A level of 5, for example, would be a higher class and assumed to be more experienced than a level of 4.
Equity Select this checkbox if this fee earner type owns a share of the firm (i.e., is a partner).
Country Optionally select a country from the drop-down list.
Experience Multiplier This is used to calculate experience scores in Umbria. For example, if a senior associate with an experience multiplier of 5 has worked 50 hours, and a junior associate with an experience multiplier of 2 has worked 50 hours, the senior associate's time will count as more experience.
Leverage Numerator Indicates whether this person's hours should be included in the numerator (number of non-Partner hours) worked when calculating leverage. For a non-Partner, this will typically be 1; for a Partner, it should be 0.
Leverage Denominator Indicates whether this person's hours should be included in the denominator (number of Partner hours) worked when calculating leverage. For a Partner, this will typically be 1; for a non-Partner, it should be 0.
Display Priority If applicable, enter a comparative number to determine the order in which this fee earner type displays in Umbria lists.

When you add a new fee earner type, a fee earner class with the same name is automatically added to the Classes list. By default, the fee earner class is not designated as a timekeeper; you will need to edit it to select the Is TimeKeeper checkbox.

If different members of this fee earner type will have different rates (e.g., if different office locations pay differently), you may wish to set up multiple classes per fee earner type. Salary information is set at the fee earner class level. Click the Add button at the top of the Classes list to enter additional classes. You can click the Salary button to define salary rules for each fee earner class or to perform a salary rule import.

Note: You can turn off the background service to determine current employee fee earner class and office. Admin: Global Settings>Background Service Settings tab. In case you opt to turn off the background service, the Employee table will have to updated during import in Umbria. Refer to People> Employee Node for more details.

Fee Earner Category Node

Fee earner categories are broader ways to categorize different types of timekeeper. For example, you may have a fee earner category of Junior Associate that includes the 1st Year Associate, 2nd Year Associate, and 3rd Year Associate fee earner types if you wish to be able to report on all of them collectively.

Rate Cards Node

Rate cards are brought into Umbria from the firm's time and billing system, but Umbria provides additional features that the time and billing system does not have. Therefore, it is likely that some customization would be performed in this area.
