People To Matters

The nodes in this area store the different roles and designations that can be used to link people/entities to matters. This includes firm personnel as well as clients and third parties.

Node Description
Internal Roles

These are the roles assigned to firm personnel who are working on a particular matter (e.g., Responsible Lawyer, Billing Lawyer). Each role must be mapped to a RoleId as well as a unique Matter Role Code that is entirely in capital letters. When setting up an internal role, select the IsDefault checkbox if it should always be available for selection in Umbria rather than being a one-off role. Select the applicable check box for the user role to be available for selection in Commission Role and Billing Role in the Matter Properties >Ownership tab.

External Categories These are broad categories describing how a person or entity is involved in a matter (e.g., Law Firm, Vendors, Opposing Counsel).
External Roles These are specific roles assigned to people inside and outside of the firm relating to a particular matter (e.g., Client, Judge, Law Firm Contact). Roles set here will be available for selection, when adding a new Player for a matter. More information is available in the External Roles section below.
Team Templates These are predefined teams of persons or fee classes that can be assigned to matters. See the instructions below on adding a new team template.

Add a New Team Template

  1. In the Team Templates node, click the Add button. An Add Record pop-up displays.
  2. Enter a Name for the team.
  3. If applicable, select the person responsible for this team from the Owner Person drop-down.
  4. Enter a numeric Priority. When compared to the priority of other team templates, this will determine how high up this team is in the list when selecting a team to add to a matter.
  5. For each of the Filter fields, make any appropriate selections to restrict when this team can be selected. For example, if the team should be available only for Litigation matters, select Litigation from the Matter Type drop-down. If the team should be available for all matter types, leave the Matter Type filter blank.
  6. Click Save. The team template is now visible in the list.
  7. To add members to the team, select the template in the list and click the Add button on the Team Members pane to the right.
  8. Choose to add either a Person or a Fee Class.
  9. Select the appropriate Person or Fee Class from the drop-down field.
  10. Optionally enter a Default Ratio Numerator. Compared to the other team members' numerator values, this determines how the hours will be allocated by default. For example, if five team members each have a default ratio numerator of 2, each will receive equal hours by default, but if one has a default ratio numerator of 4, that team member will be allocated 33.3% and the other team members 16.7%.
  11. Optionally enter a number of Base Hours for this team member. This can be a way of allocating hours rather than using the Default Ratio Numerator option.
  12. Click Save. Repeat steps 7 - 12 until all members have been added.

External Roles

Click Add to add a new External Role. In the Add Record window, enter the following fields:

Field Description
Role Name Enter a Role Name
Category Name Select a category to which the role would be assigned to.
Code All built in out-of-box roles have codes/labels assigned. You can add/edit role labels here. Changes made here will only update the user interface without any changes to the Database.
Matter Type Select the Matter Type for the role. You can filter roles based on Matter Types.
Display Priority Set display priority for search drop-down.
Party Role Check box to assign role if it is a Party. Players are usually parties, contacts are individuals.
Represent You have three options to select from. Not Used: If the role does not represent someone in a matter. e.g. Judge, Witness Optional: If the role may represent someone in a matter. e.g. Financial Advisor, Counsel Required: If the role must represent someone in a matter.
Contact Role Check this box to add this role under Contacts for a matter.
