Experience Metadata

Information in the Experience Metadata nodes populates lookup fields used throughout Umbria. It is required that an entry exists here before it is selectable in the interface. Data in these tables is populated via import from the client's time and billing system. While it is rare that anyone would need to modify any of this information, the functionality is available.

Node Description
Area of Law

Area of law contains all the imported or created areas of law. Typically, items sourced from import are marked with the data source other than Umbria (experience for Experience and the T&B system type for PBM like Elite), and have an import reference. Those created from this node within the Admin panel will not have an import reference and will show as Data Source Umbria. Area of Law can be linked to matters.

Examples: Professional Liability, Employment and Labor, Bankruptcy, General Liability.

Note: To make the Area of Law options available for selection in the Matter Profile Forms node, enter a value in the Area Of Law Code field, when adding a record, for Area of Law.

Industries

Industries contain all industries, imported or created, that can be applied to clients/companies as well as matters. You can also have parent child relationships within industries, for example oil exploration is a child industry of the parent industry Oil and Gas. Industries can be linked to matters.

Examples: Retail, Accounting, Consumer Services. The added records, will be available for selection in the Matter Profile Forms node, when adding Conditions and Sections.

Court Types Contains the types of courts. . Examples: Appellate, District, Federal, State, International. Typically, items sourced from import are marked with the data source other than Umbria (experience for Experience and the T&B system type for PBM like Elite), and have an import reference. Those created from this node within the Admin panel will not have an import reference and will show as Data Source.
Courts List of courts that can be selected within matter metadata as well as in employee profiles when indicating where employees are licensed to practice law.
Court Relationship Types Contains the types of court relationships between those within the court system. For example, a judge, or a clerk are employees in a courtroom.
Matter Data Source

Contains the source systems where data is imported from, or created inside. Out of the box, added data sources are Umbria, CMS, Elite, and Experience.

Note: When adding a Matter Type, If you want to use the same imported matter metadata in Umbria and allow modifying it in Umbria, then the imported metadata should be tagged with the data source “Umbria”. For example, if you are importing the matter type “Securities” from the external source and would like to treat as an Umbria matter type, then its data source should be Umbria.

If you want to re-structure your metadata in Umbria and keep the imported metadata flagged with its source, then tag the imported metadata with the relevant data source. For example, if you would like to import the matter type “Probate & Estate” from Elite, but you want, no other user to modify that relation or use that matter type to tag new matters, then it should be tagged with the data source “Elite”.

Matter Types Contains the matter types imported and are the primary classifications for matters. Examples: Litigation, Regulatory, Advisory. The added Matter Types, will be available for selection in the Matter Profile Forms node, when adding Conditions and Sections.
Matter Subtypes Contains the matter subtypes imported and are more specific classifications for matters, relating to particular issues. The added Matter Subtypes, will be available for selection in the Matter Profile Forms node, when adding Conditions and Sections.
Matter Issues/Tags

Tags are additional identifying criteria that can be associated to a matter in the Matter Core Experience area. The matter will then be retrieved when searching and using that tag as a keyword. Tags can optionally be restricted to being used for certain areas of law, matter types, and matter subtypes.

For example, nature of consideration in a M&A deal, or the case status from an experience system. The added Matter Issues/Tags, will be available for selection in the Matter Profile Forms node, when adding Conditions and Sections.

Matter Client Role

This contains the roles of persons considered clients on a matter. For example, agents, appellants, or defendants.

You can set conditions so the role will display only for certain matters. Available filters include Area of Law, Matter Type and Matter Subtype.

Matter Complexities Options available when specifying the complexity of a matter. Examples: Simple, Normal, Complex, Very Complex.
Matter Fee Type

Types of fee arrangements that can be assigned to a matter. Here you can determine whether each fee type is included in person realization and/or matter realization and whether the fee is billable.

Examples: Administrative, Billable, Contingency or Probono.

Matter Profile Forms

Tabs that can be included on the Matter Profile screen for certain matter types. It contains the xml form config and the tab config for a matter profile page.

When modifying a tab, you can do the following:

  • Change the tab's display name and display order.
  • Change Matter Permission and Global Permission settings.
  • Set filters so that the tab will display only for certain matters.
  • Select and set sections within the tab.

Person Profile Forms

Tabs that can be included in Employee, Vendor, or External Person profiles. It contains the xml form config and the tab config for a person profile page.

Select a tab to view or modify the conditions that determine whether or not that tab is included in the profile.

To add a condition, click the Add button at the top of the Conditions list. Select the Vendor checkbox if this tab should display in vendor profiles, and select the PersonTypeID (employee, external person, etc.) for which the tab should display.

Multiple conditions can be configured for a single tab.

Client Profile Forms

Tabs that can be included in Client Profiles. It contains the xml form config and the tab config for a client profile page.

When modifying a tab, you can update its display name and display order as well as change the Global Permission setting.

Debt Type Contains the types of debt, for matters dealing with debt and restructuring. Optionally enter a Code and specify an Import Reference.
Marketing Practice Here you can define marketing practice descriptions that can be listed as experience in employee profiles. For each marketing practice type, you can optionally define multiple sub-types using the Sub-Marketing Practice list on the right.
Marketing Description Config

This node maintains the different types of marketing descriptions that can be entered for matters, people, and practices, as well as the options available when entering a description of this type.

The following information can be configured for a marketing description type:

  • Category- Type of entity this description can be applied to. Select Budget, Firm, Staff, Matter, Vendor, External Person, Industry, or Marketing Practice Area.
  • Type- Standard types, which identify the purpose for the marketing description, include Chambers, Full Biography,Press Release, Proposal, Short Biography,Tomb Stone, and Web.
  • Specify an External Number Of Description.
  • Specify an Internal Number Of Description.
  • Show Comments Field- Select if accompanying comments (not included in the description output) should be able to be entered.
  • Allow Export to Word/Allow Export to PDF- Select each output type that should be available.
  • Display Priority-Set priority for description display.

Configuring a description type allows you to provide details such as line items of the description, character count, enable word and power point export, define number of descriptions types per entity etc.

Marketing Description Type Contains the types of marketing descriptions. Here you can add the different types of marketing descriptions that can help identify the purpose and can be entered for matters, people, and practices. You can add a web narrative to be shared on an external portal, a proposal description intended for an impending proposal, a client specific tombstone or any other firm specific format configured in Umbria.
Room Type Contains the available types of rooms, (rooms within a building). For each type, you can enter a name and a description.
Seat Type Contains the available types of seats (court seats). For each type, you can enter a name.
Room Contains the rooms (in buildings). For each type, you can enter a room number and a description.
Seat Contains the seats (in courts). For each type, you can enter a name.
Bar Contains the list of Bar Associations with Country and State details.
Skills Here you can add skills that can be selected in employee profiles. For each skill you can add a sub-skill(s).
Stock Exchange Contains the available stock exchanges that companies are on with Country, State and its associated Symbols.
Image Config Contains the profile image configurations for different experience content.
Transaction Status Contains the statuses of transactions or deals. For example, Announced, Closed, Lost.
User Defined Lookups Also known as Key/Value pairs, you can set list hierarchies between keys and values.
Disposition Point Add different types of disposition status that can be entered for matters. The options added here will be available for selection under the Litigation tab. For e.g. after trial, before summary judgement etc.
Litigation Outcome Add different types of litigation outcomes for M&A or Transaction deals. The options added here will be available for selection under the Litigation tab>Final Disposition. For e.g. appeal, lost at trial, won at trial.
Fund Classification Add different types of Funds that can be entered for matters. The options added here will be available for selection under Fund tags. For e.g. hedge fund, Private equity fund
Matter Security Type You can define the different types of matter securities types for matters. The options added here will be available for selection under Securities Detail.

Add Tabs on Matter Profile

  1. On the Matter Profile Forms node, on the Tab panel, click the Add button.
  2. In the Add Record window, in the Tab field, enter the name for the tab as you would want it to display on the Matter Profile page.
  3. You may add Matter Permission and Global Permission visibility settings for various users.
  4. Each tab is linked to an XML form. From the XML Form Path drop-down, select the path corresponding to the tab.

  5. Select the Display Priority for the tab on the Matter Profile page.
  6. Check the box for Is Tab to view the tab on the Matter Profile page.

Note: Is Tab option must be checked to view the added tab on the Matter Profile page. If this option is not checked, the added tabs will be available for selection under the Sections tab, on the right panel.

  1. On the right panel, in the Conditions tab, you can set filters so that the tab will display only for certain matters.
  2. To add a filter to a tab, on the left panel, select the tab you want to add a condition to and click the Add button in the Conditions tab. The tab will be displayed for matters as per the filters applied here. Available filters include Area Of Law, Matter Type, Matter Sub Type, Department, Country, State, Industry, Tag and Status.
  3. In the Sections tab, on the right panel, you can add various sections within the Tab added on the Matter Profile page. Click the Add button on the Sections tab.
  4. In the Add Record window, the Section drop down, will list all the tabs added, (where the Is Tab option is not checked). These tabs can be selected as sections to be added within the main tabs displayed on the Matter Profile page.
  5. Select the Display Order for the sections within the tab.
