Matter Monitor

The Matter Monitor report provides thorough performance statistics for a single matter. The report consists of a KPI panel and several tabs that each offer a different view of the matter's performance. Select a Matter and from the drop-down menu, choose Monitor.

The Matter Monitor page is displayed.

To modify the date range for the data displayed, choose a month and year using the drop-down menus at the top of the page (they default to the current month and year) and then make a selection to determine how far back from the selected month and year you would like to pull data. Options are One Month, Whole Year, Last 3 Months, Last 6 Months, Last 12 Months, Last 13 Months, Last 24 Months, Last 36 Months, Current Month, Year to Date, and All Time.

Note: Profit per Partner calculations on left KPI panel are distinguished by time period. However the Profit per Partner calculations on the KPI tab are always displayed for "All Time" period.

A Phase selection field displays directly above the KPI panel. The default view is All Phases; however, if this is a phase-level budget, you can click the drop-down arrow to select a specific phase.

A Task Code Set selection field may display for matters with No Budget if the matter is associated with client and firm task codes. You can select to view task codes for client or firm.

Note: For an already existing Matter with matter level budget and time entry, if a new phase level budget is created and marked as active, the time entries in such a case, will be disassociated from the former matter level budget and associated to the new phase level budget, in the Matter Performance Report.

Key Performance Indicator (KPI) Panel

The table below describes standard KPIs for this screen and does not reflect any customizations that may have been made by a System Administrator. Performance, or time entry performance, pulls information based on hours worked in the specified period. This includes billed and unbilled hours as well as write-down hours that were entered during this time. The source is the TimeMonth table, which is time entry data aggregated by month for each person. No other tables, such as invoice or payment tables, are used.

Section KPI KPI Description
Fees Billed Fee Amount invoiced to the client.
Unbilled Amount of Worked Fees Entered but not yet billed to the client.
Write-Down(/Up) Sum of Fees not billed to client (Write-Down) or sum of additional fees billed to client when invoice is issued (Write-Up).
Billable Fees Sum (Billed Fees + Unbilled Fees)

Entered Amount Total Entered Hours multiplied by the Value at Matter Rate.
Value at Firm Standard Rate Total Entered Hours multiplied by the Value at Firm Standard Rate.
Expenses Unbilled Internal Sum (Expenses) of Internal Cost WIP entries.
Unbilled External Sum (Expenses) of External Cost WIP entries.
Total Internal Sum (Internal Expenses)Firm responsibility

Total Expenses Sum (Internal Expense + External Expense)
Write-Down/Up Expenses Sum of Expenses not billed to client (Write-Down) or sum of additional expenses billed to the client when the invoice is issued (Write-Up).
Fees + Expenses Sum (Total Fees + Total Expenses)

Note: To view Expenses KPI for a matter, turn on option for Show Expenses in Month, in the Action drop down menu.

Budgeted Fees (Total) Total Budget Sum of Budgeted Phase/Task values for the matter or the Sum of Hours multiplied by the Matter Rate (Agreed Rate) for each fee earner.
Billable for Budget Sum of all Billed Fee for the work done post the budget start date.
Total Remaining Fee

Budgeted Fees minus Billable for Budget.

Note: This KPI will not be displayed for monthly budget matters, matters budgeted at monthly fixed fee / fee cap, and for matters with recurring budget without a start /end date.

Excluded Billable Fees Excluded from the Budget based on the budget start date – if the fees are transacted before the budget start dates or have been manually excluded from budget , will be included within this bucket.
Worked Realization

The realization for all rates types, except Fixed Fees is calculated as - Entered Fees/ Value at Firm Standard Rate for Hours Entered

For Fixed Fee rate type, Realization is calculated as:

  • If the Fixed Fees is more than the Entered Fees - Entered Fees/ Value at Firm Standard Rate for Hours Entered
  • If the Fixed Fees is less than the Entered Fees - Fixed Fees/ Value at Firm Standard Rate for Hours Entered

For Phases with Multiple Fee Arrangement (with Higher and Lower Fixed Fees)-

  • Determine the Numerator for each Phase (as shown above, either Fixed Fees or Entered Fees).
  • Select the Numerator from each Phase and add them, to arrive at (Total Numerator)
  • Select the Value at Firm Standard Rate for each Phase and add them, to arrive at (Total Denominator)
  • The Worked Realization for Multiple Phase Arrangement will now be calculated as (Total Numerator / Total Denominator)

Leverage Entered Non Partner Lawyer Hours / Entered Partner Hours

Margin Entered Amount minus Lawyer Cost/ Entered Amount

Tip: You can show / hide the Worked Margin on the KPI Panel for various users. Admin: Permission Group: Matter> View Matter Margin or Admin: Permission Group: Sensitive Datar> View Margin Column.Both these permissions apply to worked margin. Ensure to enable / disable both.

Profit Per Partner Margin / Partner FTE

Tip: You can show / hide the Profit per Partner KPI on the KPI Panel for various users. Admin: Permission Group: Matter> Role Permission - Can view worked profit per partner

Revenue Per Lawyer Entered Amount / Total Lawyer FTE

Tip: You can show / hide the Revenue per Lawyer on the KPI Panel for various users. Admin: Permission Group: Matter> Role Permission - Can view worked revenue per lawyer

Billed Realization

Billed Fee/ Value at Firm Standard Rate associated to the Entered Hours Billed, which includes write down hours. If applicable, the target realization for the matter/phase displays to the right of this KPI in parentheses.

Margin (Billed Fee- Billed Cost) / Billed Fees

Note: Billed Cost is the cost of Entered hours billed, which includes write down as well.

Tip: You can show / hide the Billed Margin on the KPI Panel for various users. Admin: Roles>Permission Group: KPI> Can View Billed Margin on Matter Monitor.

Leverage Entered Hours Billed for Non Partner/ Entered Hours Billed for Partner

Note: You can choose to define fee earner classes to be included in numerator and denominator of leverage through Admin: Fee Earner Class> Edit Record

Profit Per Partner

Billed Margin / Billed Partner FTE

Revenue Per Lawyer Total Billed Fee / Lawyer FTE
